Hotels in Monterey during June fill up quickly. The recommended hotel for attendance at Policy 2002 is the Hyatt Regency Monterey.  IEEE has contracted a limited block of rooms at a special price for the conference.  This hotel is within walking distance of the Naval Postgraduate School (parking at NPS is severely limited and because of security reasons, automobile passes to get onto base may not be available). For details on the special pricing for the hotel see below.

If the Hyatt fills up (i.e. the established room block is exceeded) or if participants desire to stay at other hotels in the Monterey Area, they can make other arrangements by visiting the Lodging link off the Monterey website. 


 

HYATT REGENCY MONTEREY

RATES

 

The Hotel confirms the following special rates for the Policy 2002 Participants:

 

Group Single:   $149.00

Group Double:  $149.00

 

US  Government  employees will pay the per diem rate of $94 single and $119  double. 

 

These rates are exclusive of applicable sales/room tax, currently ten  (10) percent, and are net non-commissionable. A $10.00 resort services program fee plus tax will be billed to each room each night.

 

 

RESERVATIONS

 

Participants should make reservations by telephone: +1-831-372-1234 (Hyatt Regency Monterey) or +1-800-233-1234 (Central Hyatt Reservations) or by way of the Society's housing form faxed to +1-831-375-3960 (Hyatt Regency Monterey). Do not use the online Hyatt internet reservations system or you will not receive the conference rates.

 

When making reservations attendees need to mention:

·        Hyatt Regency Monterey

·        Specific Dates of their stay  

·        "IEEE Computer Society Policy 2002"

·        Credit Card information 

 

The reservation cut-off date will be Tuesday, 14 May 2002 at 5:00 p.m. Pacific time.  Reservations received after this date will be accepted by the Hotel on a space available basis.  Note:  the room block is of limited size and hotels in Monterey fill up quickly in June -- make your reservations early. 

 

AMENITIES

 

A Resort Services Program fee of $10.00 per room, per night plus tax will be added to each individual room account.  Amenities covered in this fee include local and 800 calls, coffee and coffee makers, in-room bottled water, daily newspaper, complimentary parking, and use of the on-site fitness center

 

THE FINE PRINT

 

A.
The above special rates will apply at least three (3) days prior to the Meeting dates based on availability to accommodate those who wish to extend their visits.  Post Meeting rates will be subject to availability.  Guest room rates beginning Friday, 7 June will be at prevailing rates.  Per diem rates will not be available 7 June or through the weekend.

B.

The Hotel will require a deposit in advance from individual guests to guarantee a particular reservation.   To guarantee an individual reservation, a guest must either (1) send a check or money order covering the first night's room rate plus applicable sales tax, or (2) send a signed letter or card number authorizing the Hotel to charge the room deposit and applicable sales tax to the guest's major credit card, or (3) give the guest's major credit card by telephone. Guaranteed reservations are held until at least 6:00 a.m. the following morning, at which time the reservation and deposit are forfeited. The Society will not guarantee payment for no shows except for those reservations guaranteed to the master account.  Should guests cancel a reservation, deposits will be refunded by the Hotel if notice is received forty-eight (48) hours prior to the arrival date.  The Hotel will allow name changes without any penalty.   All guaranteed reservations will receive either written or verbal confirmation from the Hotel.

C.
If the Hotel cannot honor a guaranteed reservation for an attendee on the date specified the Hotel will secure comparable or better accommodations at the nearest hotel possible. The Hotel will secure and assume the financial responsibility for that part of the room rate at the alternate hotel which exceeds the group room rate, ground transportation and one brief long distance phone call.  Ground transportation to and from the alternate accommodations shall be provided at the Hotel's expense for as many days as the Hotel is unable to accommodate the attendee.
D.
In the event that an attendee who has reserved a room within the Society’s room block checks out prior to the reserved check-out date, the Hotel will charge an early departure fee of $50.
E.
The Hotel's check-in time is 3:00 p.m. The Hotel’s check-out time is 12:00 p.m.  Guests are permitted to check in earlier or check out later subject to room availability.
